Part-Time Receptionist

Summary:

The Receptionist provides the first in-person and phone contact to clients seeking services provided by the AHA.  The receptionist assesses clients’ needs before connecting them to a company representative.  The receptionist maintains a smooth flow of incoming calls and correspondence and ensures all inquiries are directed to the appropriate staff member.

Responsibilities:

  • Responsible for managing the switchboard and routing calls to the appropriate person, announcing the name and nature of calls and/or recording accurate messages, etc.
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
  • Provide basic and accurate information in person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)
  • Provide monthly status reports of walk-in clients
  • Perform other clerical receptionist duties such as filing, photocopying, mailers, and faxing
  • Log in all (hand-delivered) applications/client packets received and provide the client with a submission receipt.
  • Log in all mailed applications/client packets received.

Qualifications:

  • Strong verbal communication skills on the phone
  • Capacity to deal with diverse clients with various levels of needs.
  • Bilingual-Spanish preferred
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines, printers, and postage machines)
  • Professional attitude and appearance
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Positive Customer service attitude
  • One to Three years of experience in serving clients
  • High School Diploma or equivalent

Hours: Part-time; 25 hours/week;

Monday – Wednesday: 12 PM – 5 PM, Thursday: 9 AM – 5 PM, and Friday: 9 AM – 12 PM

This position has the potential to become Full-time at a future date.

FLSA Status:  non-exempt
